About the Role
We are looking for a well-presented, professional, and customer-focused Front Office Executive to be the first point of contact for our company. The ideal candidate will manage front desk operations, greet visitors, handle calls, and support administrative tasks to ensure smooth daily operations.
Key Responsibilities
- Greet and welcome visitors, clients, and guests in a friendly and professional manner.
- Manage incoming phone calls, emails, and inquiries; direct them to the appropriate departments.
- Maintain the front desk area, ensuring it is clean, organized, and presentable at all times.
- Handle visitor registrations, issue passes, and maintain visitor records.
- Assist in scheduling appointments, meetings, and conference room bookings.
- Manage incoming and outgoing mail, couriers, and package deliveries.
- Provide administrative support such as data entry, filing, documentation, and record keeping.
- Coordinate with internal departments to support daily operations.
- Maintain office supplies and inventory, and place orders when necessary.
- Handle basic billing, invoicing, or cash-handling tasks if required.
- Ensure compliance with company policies and security procedures.
Qualifications
- Bachelor’s degree or diploma in Business Administration, Hospitality, or a related field (preferred).
- Proven experience as a front office executive, receptionist, or customer service role.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Proficiency in MS Office (Word, Excel, Outlook) and office management software.
- Presentable personality with a positive and professional attitude.
- Ability to handle pressure and manage multiple tasks efficiently.
Preferred Skills
- Knowledge of phone systems and office equipment.
- Customer service training or hospitality experience.
- Basic accounting or billing knowledge.
